Subscription Policy Details

Non-Cancellable Subscription Term

All subscription licenses are purchased for a fixed term (monthly or annual) and are non-cancellable for the duration of the subscription term. Early termination does not entitle the subscriber to a prorated refund of fees already paid.

License Reassignment

Subscription licenses may be reassigned to a different user if the original user leaves the organization, changes roles, or no longer requires access. Each license may be reassigned once per 12-month period. To request a reassignment, contact our support team with the current and new user details (name and email).

Billing & Auto-Renewal

Subscriptions are billed in advance on a recurring basis (monthly or annually, depending on the selected plan). The credit card on file will be automatically charged for each billing cycle for the full duration of the subscription term. Annual subscriptions auto-renew onto subsequent terms unless a cancellation request is submitted at least 30 days prior to the end of the current term.

End User License Agreement (EULA)

Use of these products is governed by the Nuance Healthcare Hosted Services Subscription Agreement and the applicable End User License Agreement (EULA). By purchasing a subscription, the purchasing entity agrees to be bound by the terms of the EULA.

Implementation & Maintenance Fees

New subscriptions are subject to a one-time implementation fee per license. Renewal subscriptions include an annual account maintenance fee within the monthly plan price. These fees are non-refundable once the service has been provisioned.

DictationOne Data Handling & Remote Support Notice

Version: December 2025

This notice describes DictationOne's standard practices related to data handling and remote support when assisting customers with speech recognition and dictation workflow solutions. This notice is provided for informational purposes only and does not replace any applicable vendor terms, end user license agreements (EULAs), or customer policies.

1) DictationOne Access & Storage

  • DictationOne does not request, require, or intentionally collect Protected Health Information ("PHI") in order to fulfill orders or provide standard support.
  • DictationOne does not host customer dictations, clinical notes, or patient chart data on DictationOne servers as part of normal operations.
  • For real-time/direct dictation workflows, dictated content is processed within the customer's environment and the applicable vendor service environment (as applicable). DictationOne does not store dictated content.

2) Offline Dictation / Philips SpeechLive Workflows

  • For workflows that involve Philips SpeechLive, files and related data are stored and processed within the SpeechLive environment per the customer's SpeechLive configuration and vendor terms.
  • DictationOne does not control the customer's SpeechLive tenant and does not access customer files unless the customer explicitly authorizes DictationOne to do so for a specific support request.

3) Remote Support Sessions (Minimum Necessary)

  • If remote troubleshooting is needed, DictationOne instructs customers to use a test patient chart or de-identified sample text and to close or hide any patient-identifiable information before the session begins.
  • Customers remain responsible for ensuring PHI is not displayed during remote sessions.
  • If PHI is inadvertently visible, DictationOne will limit access to the minimum necessary to resolve the issue and will not intentionally copy, store, or distribute such information.

4) Customer Responsibilities

  • Customers are responsible for their internal HIPAA policies, user training, and configuration of their clinical systems (EHR/EMR), including user permissions, access controls, and retention settings.
  • Customers should review and accept the applicable vendor terms associated with the products and services they purchase and use.
